What data is stored and transferred outside of my JIRA?

Here is our Privacy Policy which answers this question.

However, this is the most important extract from the Policy which refers to the checklist contents: "Railsware does not store the contents either of your Cloud nor your Server instance’s checklists. This data is stored by Jira, and so - the terms of the Atlassian Privacy Policy applies in this case."

Can I use a checklist as a template for a JIRA Project?

Sure.

You can Save Checklist as a template, load from Templates library, set checklist as Default per project, so once a new item is created - default checklist loaded.

That could be used for predefining

  • Definition of Done (DoD)

  • Quality Assurance checks

  • Repeatable process description (release/deploy)

  • and much more!

Alternatively, you can simply create a ticket in JIRA that you will use as a template.

Then clone it each time you need a new task with the same checklist.

Can I determine what projects are using Smart Checklist?

Yes, it is possible. You need is to craft a proper JQL query and look for Jira issues that have a non-empty "Checklists" custom field.

Here are more detailed instructions.
Pre-requisite: you need to have a "Checklist" custom field installed on your Jira instance. Here's how it's not required for general addon functioning and you might not have it on your instance by default. But with this field, you may utilize JQL search and some other features.
If you just set it up - then you need to wait for approximately 1 week until the addon is used by your teams and checklist value gets synchronized with the "Checklists" custom field as it's not synced right away once you set up this field.

Then go to Issues Explorer and search for not empty values of this custom field. Here are some basic examples.
That will allow you to assess how many items are with checklists and on which projects are being used.

Is there a Cloud version of the plugin available?

Yes! Smart Checklist is also supported on Jira Cloud instances. Get it from Atlassian Marketplace

How can I search through checklists?

Go To "Issues" menu items > "Search for Issues". Use JQL (JIRA Query Language).

How can I help a team to better troubleshoot an error

Getting Browser Logs

  • Open Browser Console Log and make a screenshot of errors

    1. In your Chrome browser, click and then More tools > Developer tools (F12)

    2. Click the Console tab.

    3. Refresh the page with Jira issue and checklist opened

    4. Check for any errors in the console and send them to us as screenshots or screencasts

  • Generate .HAR file following these instructions from Atlassian and send to us.

Getting Jira Server/Data Center Logs

  • Go to the directory where you have installed Jira on your server. Find the Jira logs & share atlassian-jira.log file with us

  • For UNIX server: If the directory name is Jira. You can access Jira/home/log/atlassian-jira.log. In case you do not find the files, trigger the below commands in the UNIX terminal which would fetch the list of logs files path.

    find / -name "atlassian-jira.log" 2>/dev/null
  • For Windows server: You can access log 

    C:\Program Files\Atlassian\Application Data\JIRA\log\atlassian-jira.log

Getting additional information

  • let us know if you are on Cloud or Jira Server/Data Center

  • provide us with your Jira Server/Data Center version

  • provide us with the Smart Checklist add-on version

  • make screenshots, screen recordings of the checklist behavior that you think are not valid

[Journey to Cloud] Atlassian announced the end of sale for new Server licenses on February 2, 2021. Is it the same with the Smart Checklist add-on?

Here's the approach Atlassian is taking regarding Server apps licenses:

After February 2, 2021 PT, server customers can no longer purchase or request a quote for any of the apps we are including with Data Center as part of these changes.

For all other Marketplace apps, existing server customers will be able to continue purchasing apps until February 2, 2023 PT. Ongoing app renewals are expected to be prorated with an end date of February 2, 2024 PT to match your server products' end of support date.

We’re migrating from Jira Server to Data Center. Will our purchased Smart Checklist license continue working on Data Center?

Add-ons' licenses for Jira Server and Data Center need to be purchased separately. As a part of the migration from Jira Server to Data Center, Atlassian offers refunds for the unused period of purchased apps. Here's a snippet from Atlassian documentation:

You can receive a refund in the following conditions:

  • You renewed or purchased a server app with a start date on or after September 3, 2019, we will provide a refund conditional on the purchase of a Data Center app.

  • If a Marketplace vendor introduces a Data Center approved app on or after September 3, 2019, and you have a server app license.

We will refund out any unused portion of the server app license for the purchase of a Data Center app license. Within the first 30 days of purchase, you can receive a full refund. After 30 days of purchase, you will receive a pro-rated refund based on the date from when you request the refund.

We’re migrating from Jira Server to Cloud. Can we have our trial period extended for Smart Checklist for Jira. Pro Cloud?

Since Smart Checklist is presented on the Atlassian marketplace, our team is not in charge of the trial extension, unfortunately.

Atlassian team offers cloud migration trial for Jira instance and the add-ons during the Server to Cloud migration process. The official policies can be found here. Thus, we advise you to reach out directly to the Atlassian Support team to consult on your individual case. 

In case the Atlassian team is unable to provide an extended trial for your migration, please write to us on smartchecklist@railsware.com and we will search for alternatives.
