Overview & Use cases
Better organize your checklists by splitting them into separate tabs. Track and automate them with ease for improved task management. Find out key highlights and primary use cases below.
📂 Clear task organization: Divide checklist into separate tabs for improved structure and focus.
📊 Individual progress: Track progress of each checklist tab separately for better clarity and visibility.
⚙️ Workflow automation: Automatically add checklist tabs based on issue type, workflow transitions, or other triggers.
👥 Cross-team collaboration: Add different checklist tabs to team members or departments for efficient collaborative work.
📋 Checklist Templates integration: Assign templates to individual tabs for streamlined processes.
Use cases:
🗂️ Split checklist for different tasks or teams | Marketing, sales, and support can work together on a product launch within a single issue. Assign each department its own checklist or checklist template to keep everything organized and maintain clear progress tracking without mixing tasks. |
📄 Add separate tabs based on the issue type | Apply “Definition of Done” or “Definition of Ready” tabs to specific issue types (e.g., Story), so relevant checklists automatically appear where needed. |
⚙️ Add separate tabs trough the workflow transition | For required approvals or reviews (like Legal or Security checks), create dedicated checklist tabs per status. This ensures all steps are completed before the issue moves forward. |
🚫 Block the transition of the ticket if the separate checklist is not done planned | Prevent the issue from transitioning unless certain checklist tabs are finished. This keeps critical requirements from being skipped. |
How it works
Create a new tab
Go to Administration → Manage Apps → Smart Checklist → Settings → Checklist Tabs.
Click “+ Create Tab” button to create a new tab.
A new tab with “New Tab” title will be automatically created and assigned to All projects.
Assign a tab to the project
You can assign (or unassign) the tab to the project(s) to control the tab's availability for projects.
Navigate to Administration → Manage Apps → Smart Checklist → Settings → Checklist Tabs.
Select the tab you want to assign to the project.
In the Share Tab Between Projects field, select the desired projects from the dropdown:
All projects (default): The tab will be available in all projects, including newly created ones.
Single or Multiple project: Assign the tab to one specific or several projects.
To unassign a tab from the project, deselect the checkbox for the desired project(s).
Assign a tab to the issue type
You can assign a checklist tab to an issue type to add the tab to the checklist by default for all issues of the specific type. The list of issue types displayed for each tab will depend on the projects you assigned the tab to.
Navigate to Administration → Manage Apps → Smart Checklist → Settings → Checklist Tabs.
Click on the tab you want to assign to the issue type.
Choose one of the following assignment methods:
Quick Assign to All Issue Types: Turn on the toggle to assign the tab to all issue types.
Assign to Specific Issue Types: Mark the checkboxes for specific types (e.g., Bug, Story, Epic). The tab will then only appear on those selected issue types.
To unassign the checklist tab from an issue type, deselect the relevant issue types or turn off the Quick Assign toggle.
Delete a tab
You can delete the checklist tab if tab is not used anymore.
Navigate to Administration → Manage Apps → Smart Checklist → Settings → Checklist Tabs.
Click on the tab you want to delete.
Click on the “Bin” button.
When the confirmation pop-up appears, choose one of the following:
Delete the tab and move existing checklist items to the default tab
Delete the tab along with existing checklist items
Click Delete tab button to confirm.
Default Checklist tab
The Default Checklist tab is a dedicated space for items not associated with any admin-created tabs. It appears alongside other tabs in the checklist.
Conditional Visibility: It only appears if at least one additional tab is created. If there are no additional tabs, the checklist remains a single list (the default behavior).
Positioning: When multiple tabs exist, the Default Checklist tab always appears first in the issue view.
Assign a checklist template to a tab
The Multiple Checklists functionality allows you to assign specific checklist templates to individual tabs, ensuring your team always has clear to-do items aligned with consistent standards.
Assign a checklist template to a tab in Global Settings:
Navigate to Templates Settings: Go to Administration → Manage Apps → Smart Checklist → Settings → Templates.
Select a checklist template you want to assign to the tab.
Add/Edit Default Template Conditions:
Select the Trigger
Add the Condition
Select the Issue Type for Field
Select Issue types for the Conditions and Value fields.
Select the available checklist tab in the Assign to a Checklist Tab field.
Alternatively, you can create a new tab by simply typing the desired tab name. The new tab will be configured with the Projects and Issue
Types scope defined in the template's conditions.
Assign a checklist template to a tab on the Project Level (only for project templates):
Navigate to the Project Templates Settings: Go to any Issue → Smart Checklist menu → Manage Templates.
Expand the checklist template you want to assign to a tab.
In the right panel:
Select the Issue Type where this template applies.
Choose the Tab where the template should be imported by default.
Checklist tabs on the Issue view
The Multiple Checklists feature provides an intuitive way to organize checklist items on the Issue view. Tabs will appear either based on configurations set in Global Settings (for selected projects and issue types) or according to the checklist tabs setup in Automation for Jira.
Progress bar and tab menu
Each tab comes with its own progress bar and a separate menu with additional options:
Clear Checklist: Delete all checklist items in the tab.
Import from a Template: Populate the tab with a predefined checklist template.
Save as a Template: Save the checklist from the tab as a reusable template.
Full-screen editor
You can easily edit checklists across tabs using the Full-Screen Editor.
Click the Pen icon to open the editor.
All tabs will be displayed at the top of the editor, allowing you to switch between tabs and edit their contents seamlessly.
