Overview
The Template Categories feature in Smart Checklist for Jira Data Center introduces a structured and intuitive way to organize checklist templates. Templates are now grouped by category directly in the Template Manager pop-up, making them easier to browse and select.
By allowing users and admins to assign templates to custom-defined categories, this feature significantly improves the discoverability and manageability of templates across both project-specific and global contexts.
Categories serve as a powerful filtering and grouping mechanism, enabling teams to:
Easily locate relevant templates in large template lists
Maintain a clear and organized structure for templates across teams and use cases
Streamline template management through centralized category creation, editing, and deletion
Improve consistency by encouraging standardized naming and categorization practices
Organize templates by department, process, or goal
Group templates into categories like “QA,” “Dev,” or “Client Onboarding” to keep your template library clean and easy to navigate — especially when working across multiple teams or projects.
☝🏼NOTE: Pagination has been removed from the Template pop-up on the issue view for Global/Project templates. All enabled templates are now displayed in a single list.
How it works
Create a new category
Navigate to Administration → Manage Apps → Smart Checklist → Settings → Categories tab.
Click “+ Add new category“ button.
In the dialogue that appears, enter Category name.
Click “Add category” button.
New Category will appear in the list.
☝🏼 NOTE: Category field things to remember:
Categories must have unique names. Duplicate names are not allowed. You'll see an error: "Such category already exists."
The Category field is a single-select dropdown.
You cannot add a category without a name - the Add category button will remain disabled.
The Category field includes a tooltip linking to the documentation.
Assign a template to a Category
Assigning templates to categories helps your team organize and locate templates more easily — especially in the Issue view, where templates are automatically grouped by category.
You can assign a category when you:
Edit an existing template
Create a new template
Save an existing checklist as a template
Assign Category to an existing template:
From Global Settings:
Navigate to Templates Settings: Go to Administration → Manage Apps → Smart Checklist → Settings → Templates.
Select a template you want to assign.
Click on this template to edit it. Under the Template name, you’ll see the Category field.
Choose an existing category.
Alternatively, you can create a new category by simply typing the desired category name that doesn’t exist yet.
💡 HINT: To make it easier to find templates, use the Category filter on the Templates tab in Global Settings. Select a category to display only the templates assigned to it.
From Issue view:
Navigate to the Project Templates Settings: Go to any Issue → Smart Checklist menu → Manage Templates.
Expand the template you want to assign to a category.
In the right panel:
Choose the Category from the suggested categories, based on the entry, where the template should be added.
Or create a new category by simply typing the desired category name that doesn’t exist yet
Add Category When Creating a Template
Navigate to the template creation screen:
From Issue View: Go to any Issue → Smart Checklist menu → Manage Templates.
From Global Settings: Go to Administration → Manage Apps → Smart Checklist → Settings → Templates.
Click Create template button.
Enter the Template name and add checklist items
In the Category field:
Select an existing category.

Click Save.
Add Category when Saving as a Template
Open any issue with the checklist that you want to save as a template and assign it to a category.
Click Smart Checklist menu → Save as a template.
Enter the Template name.
In the Category field:
Select an existing category.
Or create a new one by typing a new name.
Click Save.
You can then find the saved template under the selected category by going to:
Issue → Smart Checklist menu → Manage Templates. 🎉
How Categorized Templates Are Displayed
In the Template pop-up (Issue view), Global and Project templates are grouped by categories:
Each category is an expandable section containing the templates assigned to it.
Each category has a label indicating the number of assigned templates.
Empty categories are not displayed.
Any templates without assigned categories appear below the categorized sections in the usual format.

In Global Settings:
A new “Category” column shows the assigned category for each template.
The table supports sorting by category to help group similar templates together.
A Category filter is available above the table, allowing users to view only templates assigned to a specific category
Rename a category
You can rename any category, regardless of whether it is assigned to templates.
Go to Administration → Manage Apps → Smart Checklist → Settings → Categories tab.
Click Edit in the Actions column for the desired category.
Enter a new name and click Save.
Delete a category
You can delete the template category, regardless of whether they are assigned to templates or not.
Go to Administration → Manage Apps → Smart Checklist → Settings → Categories tab.
Click Delete in the Actions column for the category.
Confirm the deletion in the pop-up dialog.
